Position Summary

This is a full-time lease administrator position in the Life Time—Healthy Way of Life Company property management department, which is a fast-paced general practice environment.  The primary duty is supporting the administering of the Company’s current and growing lease portfolio.

Job Duties and Responsibilities

  • Executes contract payments through Lucernex. Administrator reviews and approves all payments to landlords or from tenants, including rent and all operating expenses, insurance charges, real estate taxes, and percentage rent, as applicable
  • Assists in development and ongoing enhancements of Lucernex database. Cross functions with other teams with reporting and data sharing
  • Initiates and manages all Tenant Improvement reimbursement draws
  • Resolves rent payment issues by corresponding with landlords and tenants regarding payment disputes, defaults, or interpretation issues, and identifies and resolves past due balances and credits, as well as coordinate payments, credits, accruals, and any abatement with accounting department
  • Manages the processes and procedures for deployment of data into new lease database
  • Develops and communicates policies and guidelines for consistent lease abstracting standards
  • Conducts annual reconciliations of landlord’s year-end statements of operating expenses, insurance, and real estate tax charges for accuracy and compliance with lease provisions
  • Reports required reporting to landlords, as required, on monthly, quarterly, and annual basis
  • Maintains lease database for operating expenses and payment information of landlord invoices and other related information
  • Conducts and supports audits of the information contained in the lease database to ensure information is accurate and consistent, and resolves any discrepancies with landlords or tenants and accounting department
  • Reviews of estoppel and SNDA requests to ensure documents are handled in an accurate and timely manner; reviews account status, coordinates with Property Manager to document any property-related concerns, and resolves issues as appropriate
  • Investigates key areas of concern and matters such as deferred maintenance, vacancy issues, competing uses, and construction projects in support of operations and ensures Life Time’s ability to remedy any landlord defaults and collaborate with Property Management team regarding the same

Position Requirements

  • Associate’s Degree
  • 10 to 15 years of experience as a lease administrator
  • Experience in implementing and inputting critical data into new lease administration software/platform and reviewing and analyzing leases, declarations and development agreements
  • Self motivated, highly organized and able to build strong interpersonal/working relationships with other Life Time departments
  • Able to effectively multi-task with tight deadlines independently and on a team with diverse personalities and work styles
  • Strong critical thinking and analytical skills, including ability to define problems, collect and analyze data, draw valid conclusions and recommend solutions

Preferred Requirements

  • Bachelor’s Degree
  • Prior experience with Lucernex
  • Experience with tenant user lease administration
